Service 02

Process automation—with judgment

We help you prioritize and automate processes—with or without AI. Start with a portfolio review if priorities are unclear, a fixed-scope project for one process, or a program to scale cleanly. What we build is yours: documented, with exportable files. After go-live you run it in-house or keep monthly maintenance.

Critical work still stuck in spreadsheets, email, and manual exceptions burns hours and creates errors. Choose well what to automate first; then build with human oversight where it matters, and measure the result.

Wondering if a process is ready? Take the quick self-assessment: 12 questions, about 5 minutes.

Benefits

What the organization gains

Automation shows up in the numbers: hours, errors, and response times. Here is what usually changes:

Hours back

The team stops copying, checking, and chasing information—and spends that time on higher-value work.

Fewer errors

Less rework and fewer typos, with automatic checks at the critical points.

Faster responses

Requests, approvals, and reports move without waiting for someone to push them by hand.

Traceability

Every step is logged: what came in, what happened, who approved.

Grow without the same drag

Volume can rise without manual work rising at the same rate.

No lock-in

What we build is yours—documented, with files you can export.

We size the return before we build. In discovery we measure the current process: cases per month, time per case, and errors. The proposal includes a business case with estimated savings and payback. After go-live we track the same indicators.

Examples

Which processes get automated

Those that repeat, consume hours, and follow clear rules. Typical examples:

Incoming requests

Classify, reply to, or route emails, forms, and messages with clear rules.

Data between systems

Move information from email, PDFs, or forms into the ERP or CRM—without retyping.

Recurring reports

Reports your team still stitches together every week or month in spreadsheets.

Reconciliations and checks

Compare records, flag differences, and alert the right person.

Documents

Pull data from invoices, contracts, or requests—and generate documents from them.

Follow-ups and approvals

Reminders, approval flows, and task tracking across teams.

Methodology

How we approach automation

Three paths depending on where you start: portfolio, project, or program. Every project ends documented, measured, and with a clear owner.

01

Portfolio diagnosis

Too many manual processes and no clear first bet? We gather candidates, rank them by impact and effort, size a business case, and pick the first project. The diagnosis fee credits toward that project if you contract within the agreed window.

02

Project: discover and design

We map the process as it runs today and design the solution: what gets automated, what stays with people, and which tools connect. If personal data or decisions about people are involved, we run a short risk assessment. Design is approved before we build. If scope exceeds the quote, we re-quote—or you can stop and keep the design.

03

Project: build, test, and deliver

We build in short iterations, test with real cases (including exceptions), and move to production.

  • A working automation, with documentation and exportable files.
  • Credentials and know-how handed to your team.
  • 30 days of support after delivery.
04

Automation program

Already automating—or sitting on an approved portfolio—and want to scale with order? We set up a light committee or center of excellence, a living pipeline, a simple dashboard, and adoption support. We walk the first cycle with you, then hand it over. Pipeline projects are quoted separately.

05

Continuity: your call

When each automation project ends, you choose how to keep it running.

  • In-house: your team owns it, with the documentation and files to run independently.
  • Monthly maintenance: we monitor, fix failures, adapt when tools or AI models change, and include a bounded block of improvements each month—plus a monthly report.

No orphan bots. No lock-in.

Quick self-assessment

Is your organization ready to automate?

About five minutes on process, data, systems, measurement, and owners. You see how prepared you are, where the gaps are, and what to do next.

Not sure where to start?

Start by ranking the portfolio

If you have many manual processes, begin with a portfolio diagnosis: prioritized list, minimum technology, and business case. If AI use still has no clear rules, pair it with AI governance.

Fit

It makes sense if

  • Many manual processes—and no agreement on which to tackle first.
  • One concrete process ready to automate, with results you can measure.
  • Automations already running, and you want a program with pipeline, measurement, and adoption.
  • You want what is built to stay yours—without lock-in.

First step

How it starts

  • First call. Free—to see whether you need a portfolio review, one process, or a program.
  • Fixed proposal. Scope, deliverables, timeline, and price before work starts.
  • Delivery. Diagnosis, project, or program—with demos and handoff.
  • Continuity. Run it in-house or keep monthly maintenance—your call.

Questions

Questions about this service

Who owns what is built?

The organization. Each automation is delivered with documentation and exportable files so its team can operate it without depending on the consultant. If preferred, continuity can be entrusted to Soto AI Consulting through monthly maintenance.

Which processes should be automated first?

Those that repeat often, consume many hours, have clear rules, and today live in spreadsheets, email, or manual exceptions. If it is unclear where to start, a portfolio diagnosis prioritizes by impact, effort, and business case.

What if during design the process is larger than quoted?

A new quote is presented. The organization can continue at the right size or exit keeping the design, which is its deliverable.

What if the automation uses personal data or decides about people?

Before building it, a short risk assessment is done: what data it uses, who oversees the outcome, and which controls it needs. The automation is designed with human oversight in uncertain cases.

What does project delivery include?

A working automation, its documentation, exportable files, handover to the team, and 30 days of support.

What is the automation program?

A closed project to stand up a light committee or center of excellence, the pipeline, the dashboard, and adoption. The first cycle is accompanied and handed over; afterward the organization operates it. Pipeline projects are quoted separately.

What happens after delivery?

The organization decides how to continue. It can operate the automation with its own team, with full documentation and files, or hire monthly maintenance: monitoring, fixing failures, adjustments when tools or AI models change, bounded monthly improvements, and a monthly report.

Can maintenance cover several automations?

Yes. Monthly maintenance covers one automation and others can be added under the same agreement.

Responsible AI adoption based on ISO/IEC 42001

Assess where you stand (or kick off from a blank slate), then implement an AI management system as a fixed-scope project. During implementation we capture applicable obligations in a living register—not legal advice. When we finish, your team runs it. Later you can add an internal audit, a new use case, or a regulatory update.
